Copilot Business brings Microsoft’s AI to smaller teams

Written by Grant McGregor Team | 13/01/26 19:39

Over the past couple of years, Microsoft 365 Copilot has become an essential part of everyday work. Teams use it to draft emails, pull together documents, summarise meetings, analyse spreadsheets and find information across Microsoft 365.

Microsoft has now introduced Copilot Business, a new Copilot plan with lower pricing for small and mid-sized organisations.

What is Copilot Business?

Copilot Business makes the enterprise-grade Copilot platform more accessible and affordable for small and mid-sized organisations.
It supports up to 300 users on Microsoft 365 Business plans, making it a practical option for growing businesses.

Copilot Business gives you access to Microsoft's AI tools across Microsoft 365, all working inside the apps your team already uses every day.

This includes:

  • Copilot Chat for searching, summarising and answering questions using your business data

  • Copilot in Outlook, Word, Excel, PowerPoint and Teams

  • Copilot Studio to build agents and workflows

  • Copilot in Power Automate to automate everyday tasks

  • Copilot Dashboard to monitor how Copilot is being used across your organisation

Copilot runs inside your Microsoft 365 tenant and follows your existing security, access and data protection policies. Your data stays in your environment and is not used to train public AI models.

How Copilot fits into everyday work

Copilot empowers teams across different departments, helping them get through everyday work faster by removing the manual work that fills up their inboxes and to-do lists.

For business owners and managers

  • Email management
Summarise emails and draft replies directly in Outlook.

  • Proposals and client documents
Create and refine proposals, letters and reports in Word using your own content and templates.

  • Financial oversight
Build budgets, track spend and analyse performance in Excel without having to spend time building formulas.

For marketing teams

  • Market research and planning
Use Copilot Chat to summarise internal and external sources and turn them into opportunity analysis and campaign plans.

  • Campaign briefs and messaging
Turn value propositions, past campaigns and product information into list of ideas and clear briefs.

  • Performance tracking
Analyse campaign results and customer feedback to gather data for future marketing activities.

  • Content creation
Draft blogs, social media posts, emails in Copilot Chat and Word.

For customer service teams

  • Service guides and knowledge base content
Draft and update documentation in Word using your existing documents.

  • Root cause analysis
Use Copilot Chat to combine internal and external data and create an action plan.

  • Faster issue resolution
Quickly find what you need across SharePoint and Teams when a customer needs an answer.

For sales teams

  • Prospecting and research
Use Copilot Chat to search for potential customers and identify strong leads.

  • Meeting preparation and follow-up
Prepare talking points, capture notes and summarise next steps in Teams.

  • Presentations and pitches
Create PowerPoint presentations tailored for each customer .

For HR and people teams

  • Employee feedback and engagement
Analyse survey results and brainstorm improvements in Teams and Copilot Chat.

  • Recruitment
Research roles, markets and salaries and draft job descriptions.

  • Onboarding
Create onboarding plans, checklists and training materials.

  • Policies and documentation
Draft and refine HR policies in Word using best-practice guidance.

Agents, Researcher and Analyst

Copilot Business also includes access to AI agents. They can take on specific jobs and follow rules you define.

Microsoft provides ready-made agents such as:

  • Researcher, which can pull together information from multiple sources and produce structured reports.

  • Analyst, which works through data and produces insights.

For more tailored approach, Copilot Studio lets you build your own agents to support your processes. For example, you could create an agent that helps with customer enquiries or internal requests based on or frequently asked questions

Pricing and launch offer

Copilot Business is available for organisations with up to 300 users on Microsoft 365 Business plans, with launch pricing available until 31 March 2026. If you are considering Copilot, starting before April will reduce your long-term licence costs.
